List of Mandatory Documents Required for Getting an ITA

All the documents required for ITA Canada need not be uploaded at the time of submitting the application. Instead the scanned documents need to be submitted after receiving an ITA.

List of Documents Required for ITA Canada

  • Documents of medical check-ups

The applicants who have received an Invitation to Apply have to take a medical checkup along with their spouse and their dependent child from the panel physicians mentioned in the list. They will conduct a full medical checkup which may even include chest x-rays and lab tests. Then you have to forward the final reports of the medical checkup to the IRCC.

The applicant has to either submit a copy of the results of the medical examination either in the form of an e- medical report or a paper-based medical report.

The IRCC may accept the following documents may have a probability of acceptance under exceptional cases 

  1. Proof that an appointment has been scheduled with the listed panel physician
  2. The applicant has to submit a valid Letter of Explanation stating why the scheduled medical exam did not take place

The IRCC had excluded some immigrants already residing in Canada to take the medical examination for Canadian permanent residency. This policy is only applicable to the applications for permanent residency submitted by foreign nations till December 28, 2021.

This exemption is for foreign nationals who have not taken the latest medical checkup and have already completed the medical checkup in their stay of 5 years and later found that they do not negatively impact the public health and haven’t moved out of Canada for more than 180 days.

Police Certificate

The applicant needs to seek their life after attaining 18 years of age. They need to add up the total number of days they have resided in any specific country. If the total time spent exceeds 6 months, then the applicant needs to submit a police certificate.

If the applicant has spent more than 6 months in any country, he/she needs to look for getting police certificate before getting an Invitation to Apply.

This will avoid last-minute stress if the applicant is unable to arrange the police certificate after getting an ITA.   

The IRCC has provided the guidelines for getting a police certificate.

A police certificate is one of the mandatory documents that need to be submitted by any applicant who has resided in any country for more than 6 months in their last decade journey.

The IRCC does not demand a police certificate for applicants staying in other countries before attaining the age of 18.

  1. Needs to submit the police certificate at least 6 months after filing the application for permanent residence.
  2. If the applicant has resided in any foreign country for 6 continuous months, he will have to issue the police certificate from the time of departure of the applicant.
  3. You need to check for the validity of the police certificate, if the police certificate has expired, you can’t submit it.
  4. Some listed counties also require consent. Applicants applying for the police certificate of New Zealand need to fill out the form which is made available on the website of IRCC.
  5. The police certificate needs to be uploaded in the colored scanned copy.
  6. The IRCC may accept the document from the applicants who have immediately applied for the police certificate after getting an ITA and a Letter of Explanation stating a valid reason why they weren’t able to submit it on time.

Documents Required for Identification & Marital Status

  • Passport

The applicant needs to submit a readable and a clean copy of their passport and other travel-related documents required. Every page that contains a stamp or a marking visa needs to be submitted. Stamps except in English and French languages need to be first translated and then can be uploaded. Latest passports only containing biographical pages can be uploaded in the same way.

The applicant, accompanying partner if any, the spouse needs to submit the passport.

  • Married   

Married applicants need to show valid documents of their marriage. Couples married in the Canadian provinces need to show the marriage certificate while couples married external to Canada need to show legal marriage certificates issued by the respective authorities.

  • Common- law   

If the applicant is accompanied by a common-law partner, then he/she must submit the following documents as proof-

  1. The applicant needs to give proof that he/she and their common-law partner have lived together for at least one year and need to submit a copy of documents like a bank statement of their joint account, and lease agreement.
  2. Common law union form with the statutory declaration
  • Divorced   

If the applicant and their partner have legally separated then a document supporting their divorce needs to be submitted by the applicant and their partner   

If the divorce of the partners took place in the Canadian province, then either a copy or a certificate of the divorce needs to be submitted   

And if the divorce had taken place eternal to Canada, a legal divorce certificate issued by its respective authorities

  • Widow   

The document has to be submitted by widow applicants by either attaching the legal document of the death certificate of their spouse or any other related document.  

  • Having dependent children  
  • If the applicant is a parent, then he/she has to submit a document showing the relationship with their dependent children either accompanying to Canada or not by showing the following documents-
    • A birth certificate of the child
    • A document showing you are the legal parent of the child.
    • A letter of explanation if the birth country of the applicant doesn’t issue birth certificates
  • Adopted children

The applicant has to submit the legal adoption documents of their child either accompanying them to Canada or not.   

  • Photograph   

The applicant has to submit a digital photograph of themselves and their spouse and children whether accompanying to Canada or not.

Documents for CRS Points

Immigrants moving to Canada with a valid work experience-

  1. If the immigrant was working on a salary basis, then a reference letter on the letterhead of the company, the immigrant’s name, their contact details with all the valid details of the HR.   
  2. The document should also include the details regarding all the job-related work, the date of joining, the title of the job, the date of leaving the job, and the salary.
  3. If the immigrant was running their business, he/she needs to submit the proof of self-owned business, and the income received from the clients in exchange for services given to them. The IRCC strictly rejects, if the applicant submits these details through an affidavit.

If the applicant has worked in Canada, then he/she needs to submit a copy of notices of assessment as well as a T4 Tax document slip.

If the applicant is unable to submit the experience letter with all the conditions mentioned above, then he/she must try to submit as many as documents mentioned below:-

  1. The contract for a job
  2. The job description mentioned on the letterhead of the firm
  3. Reference letter given by the firm the applicant has worked in and mentioning all the necessary details in it.
  4. Certificate of salary given by the employer
  5. A proof that the employer is unable to fulfil the requirements of the IRCC in its document   
  6. A Letter of Explanation stating the inability to provide the documents mentioned by the IRCC.   

The information mentioned in the reference letter regarding the roles and responsibilities of the employee plays a great role in determining if the application will be accepted or refused. The IRCC needs to match the roles and responsibilities mentioned in your reference letter and the NOC. Also, choosing the most accurate category of NOC is really important.

Education

In order to increase the marks from the educational basis, the applicant has to submit all the documents below   

  1. Document showing that you have completed your education from a Canadian institute  
  2. Submitting the document of Educational Credential Assessment and its reference number provided at the time of filling the application of Express Entry showing you have completed your education from an institute located outside of Canada.   

Graduate immigrants can also submit the copied documents of the following-

  1. Certificate of completion of degree
  2. School transcript

If the applicant mentions the institute number of the DLI, he/she may be rewarded with some additional marks.

Job offer   

An immigrant who has received a job offer from a Canadian based employer can add all the following documents   

  1. A document containing all the relevant information about you and the company like name, signature, contact details, etc. Attaching with the letterhead of the company   
  2. The document should include all the important details like the date of starting the job, roles, and responsibilities of the job, salary given to the applicant, etc. It should be clearly stated in the document that the said job is a full-time job for at least a year.

Qualification certificate   

If the applicant has completed a provincial or territorial program, then he/she has to submit valid documents of the same.

Connections in Canada

This is the document that is to be submitted by applicants who have relatives living in Canada as permanent residents or citizens of Canada.

The applicant needs to submit a copy of the document of their relatives like the permanent residence card, birth certificate, and passport.

He has to prove that their relative lives in the country by showing them the documents like bills, mortgage, and their present address.

He is also required to show the documents of the relationship they share with him/ her or their partner like a birth certificate, etc.

This can be an one of the important documents required for ITA Canada.

Other Documents

Applicants who may have used any different name in their past need to submit a document to explain the purpose of using that previous name.

For example– documents of the name change, letter of explanation

Representative

This document has to be submitted by the applicants who decide to complete the application procedure through a consultant or a representative. In this case, an IMM5476 form with attested by the applicant, their spouse.

If the age of the accompanying child of the applicant is more than 18 years of age, then he/she also needs to sign the above-mentioned form.

Letter of recommendation

If you are not fully confident about any document, and because of this there may be many interrogations by the immigration officers, then you should submit a letter of recommendation.

Translation of documents

If your documents are in any language except English or French, then you have to upload the following documents-

  1. Translated document in either English or French language   
  2. The translator has to give a valid attestation that he is a part of the translators or interpreters’ community of Canada. Submitting this document ensures that the translation done is accurate and reliable.
  3. A valid affidavit has to be submitted by an uncertified translator and the commissioner of oaths has to attest to the document assuring them that the translation is accurate and reliable. 

Translation Outside Canada

If the documents is in any other language except English or French, the applicant has to submit the translated version in either of the languages. A certified translator or a member of the translation association should do the translation of your document. The document should also contain the number and the stamp of the translator.

The applicant cannot upload the translated document by translating it through their family members like parents, siblings, partners, etc. Such practices are not acceptable by the IRCC. So to avoid any sort of rejection it is better to get the translated documents through a certified translator.

The Procedure for Express Entry 

Step1- To look for the most eligible category of NOC. The candidate needs to search through the available list of NOC. Now decide the category that fits the most according to work experience.

Step2- The candidate has to get their Educational Credential Assessment credentials checked by any of the approved parties by the IRCC.

Step3- The candidate needs to take either an English or French language test. Applicants applying for any of the Express Entry programs, he/she needs to complete an English or French test and has to score certain marks mentioned in the eligibility criteria.

Step4 The applicant needs to search through the eligibility criteria of all the 3 programs of Express Entry that fit them the most.

Step5- The candidate needs to calculate their Comprehensive Ranking Score. It will give them the estimation if they are eligible for the programs.

Step6- After performing all the above steps, the candidates need to check if they are eligible for the program. They can check it through available tools like Come to Canada. Then candidates can create their Express Entry profiles.

Step7- Candidates clearing all the requirements of the eligibility criteria will receive an Invitation to Apply. Once the candidate receives an ITA, he/she gets a time period of 60 days to complete further processing.

Step 8- Once you have received an ITA, you will be provided with a checklist by the IRCC based on the program to submit all the relevant documents.

Step 9– Once you submit all the documents, you have to wait for further approval and updates regarding your application.

Ideal Time to Gather All The Documents

You should start collecting all the required documents, the moment you had planned for going to Canada as a permanent resident. The IRCC only offers 2 months, once you receive an ITA. So, it is better to be ready with the documents which may take more than 2 months to receive.

For example- The IRCC requires a police certificate and it takes months to get this certificate. So, it is better to analyze the type of police certificate you required. Also, analyze the processing time to calculate the time you may receive the document.

Another thing to keep in mind while waiting for an ITA is to reexamine all the required documents. The documents can be passports, education degrees, and certificates. You can’t wait till you get an ITA and then start reexamining the documents. Check all your documents several times so that you can celebrate without any worries when you receive an ITA.

You are provided with a special checklist by the IRCC which is based on the immigration program you chose. After receiving  an ITA, you get this checklist. You have to submit all the documents required for ITA Canada mentioned in the checklist.

There will be only one slot available to submit the documents. You need to merge the documents into a single PDF if you are submitting more than one document. The file cannot be more than 4MB.
